Applicability of this Privacy Notice

This notice describes how we use information relating to individuals who visit our website.

How we obtain your information

We may collect personal information from you when you use our website or interact with us. We collect information about you from a variety of sources, which may include:

  1. any documents submitted to us (e.g. application forms);
  2. our correspondence and transactions with you (including the use of our website);
  3. subject to applicable laws and regulations, the measures that we use for our security policies and procedures (e.g. recording of telephone calls, monitoring emails), etc.

The information we collect

The information we collect helps us to manage our relationship with you. The information that we collect may include:

  1. your name, title and contact details (including address, telephone number and email address);
  2. information related to your occupation;
  3. IP addresses;
  4. other information you may provide to us during your relationship with us, for our operational or business purposes;
  5. Google Tag Manager (Analytics) cookies which are collected and used (in an anonymous form) to review the usage of our website and make relevant improvements.
  6. You are not obliged to provide us with your information where it is requested but this may affect our ability to provide certain services to you.

Our use of your information

The information we collect about you is used, shared and stored to provide you with services that are tailored to you. We process your information in our legitimate interests in order to comply with applicable law and regulations or because the information is required for operational reasons for the provision of our services to you.

We may use your information for the purposes of the following legitimate interests:

  1. to provide you with services and / or information pertaining to Quantile’s business;
  2. to update you about new products and services and other information that we feel may interest you;
  3. to facilitate our internal business policies and procedures, including assessing and managing risk and those required to comply with applicable law and regulations; and

How we share your information

We may share your information within Quantile’s group, with our third party business partners, business associates, subcontractors and other third parties for the purposes set out below.

  1. Within the Quantile group and to our third party service providers: We may disclose your personal information to third parties, including our affiliates [and other Quantile group entities,] subcontractors, agents and any person who provides professional, legal accounting advice or other services to Quantile, for the provision of services, customer support, or any other purposes that we specify. All such third parties are required to maintain the confidentiality of such information [in accordance with our security policies] to the extent they receive it.
  2. Potential buyers, transferees, merger partners or sellers: We may disclose your personal information to a potential buyer, transferee, or merger partner or seller and their advisers in connection with any actual or potential transfer or merger, sale, acquisition, assignment, transfer, or other disposition of part or all of Quantile’s business or assets, or any associated rights or interests, or to acquire a business or enter into a merger with it.
  3. Legal reasons: We may also disclose your personal information or any portions thereof (a) as required by, or to comply with, applicable law, regulation, court process or other statutory requirement; (b) respond to requests from any regulatory, supervisory, governmental or law enforcement authorities; and (c) when we believe disclosure is necessary or appropriate to prevent physical harm or financial loss or in connection with an investigation of suspected or actual illegal activity.

In each of the above cases, Quantile will use reasonable endeavours to ensure that those receiving all information which is shared will put in place security and confidentiality measures to protect such information.

How we transfer your information

Our operation in a global marketplace means that your information may be shared by us outside the European Economic Area. Where this is the case, we ensure that an appropriate level of protection is provided to protect your information.

Due to the global nature of our business, your information may be transferred to jurisdictions outside the European Economic Area (the “EEA”), including the United States. Such jurisdictions may not offer the same level of data protection as in your home jurisdiction and may not be regarded by the

European Commission as providing an adequate level of data protection. Where your information is transferred outside of the EEA, care is taken to ensure that the transfer is subject to appropriate safety measures (which may be contractual in nature) in accordance with data protection laws. Security

We have put in place procedures and technologies to maintain the security of your data from the point of collection to the point of destruction. We will maintain data security by protecting the confidentiality and availability of your data. Only people who are authorised to use your data can access it and authorised users can only access data for authorised purposes.

Retention of information

We will hold your personal information on our systems for the longest of the following periods:

  1. as long as is necessary for the relevant activity or as long as is set out in any relevant agreement you enter into with us;
  2. the length of time it is reasonable to keep records to demonstrate compliance with professional or legal obligations;
  3. any retention period that is required by law;
  4. the end of the period in which litigation or investigations might arise in respect of your use of our website or the services that we provide to you.

Your rights

Data protection laws may provide you with rights to object to marketing. They may also provide you with rights including rights to access data, as well as rights to as for data to be erased, corrected, used for only limited purposes, not used at all, or transferred to you or a third party.

  1. Right of subject access: The right to make a written request for details of personal data about you held by Quantile and a copy of that personal data.
  2. Right to rectification: The right to have inaccurate information about you rectified.
  3. Right to erasure ('right to be forgotten'): The right to have certain personal data about you erased.
  4. Right to restriction of processing: The right to request that your personal data is only used for restricted purposes.
  5. Right to object: The right to object to the use of personal data, including the right to object to marketing.
  6. Right to data portability: The right to ask for personal data you have made available to us to be transferred to you or a third party in machine-readable formats.
  7. Right to withdraw consent: The right to withdraw any consent you have previously given us to handle your personal data. If you withdraw your consent, this will not affect the lawfulness of Quantile’s use of your personal data prior to the withdrawal of your consent.

These rights are not absolute: they do not always apply and exemptions may be engaged. We may, in response to a request ask you to verify your identity and to provide information that helps us to understand your request better. If we do not comply with your request, we will explain why.
